Season Schedule - Step 1: Overview

Welcome to your Smart Season Scheduler!  This feature will create your teaching schedule for you. You just need to feed your smart scheduler some information.

In this first tutorial, we will walk you through the first step of the process: the Overview. This is where you setup information such as the name of your season, it's start and ending dates.

Let's get started.


What You Need

You will need the following:
  1. All of your students added into your Students List. See this tutorial for how to do so.
  2. Your cell phone number entered into your Studio Settings. See this tutorial for how to do so.
  3. The name of your Season.
  4. Start and ending dates of your season.
  5. How long primary contacts have to respond back with their preferred lesson times.
  6. When you promise to have the scheduling done.
  7. Where lessons will be held.


Step 1: Overview

  1. At your main menu, click on Scheduling > Season Schedule.



    This will transport you to your Season Smart Scheduler.



  2. Season Title. The season title is the name you want your season to have. A "season" is the time period for which you want to schedule recurring weekly lessons for your students. 


    In this example, I am naming my season Winter-Spring 2024 since my teaching schedule is only covering the first few months of the year.



  3. Season Start. This is where you enter in when your season (i.e. your schedule for recurring weekly lessons) will start.


    To set the season start date, click in the Season Start field > browse the calendar > choose a date.





  4. Season End. This is where you enter when your season (i.e. this schedule for recurring weekly lessons) will end.


    To set the season end date, click in the Season End field > browse the calendar > choose a date.




  5. Response Deadline. Later in the setup process, the system will send out messages to your studio families, asking them to submit their preferred lesson times. The Response Deadline is when you want the studio families to get back to you with that information. We recommend giving your studio families about a week to respond with their preferred lesson times. 


    To set the Response Deadline date, click in the Response Deadline field  >  browse the calendar  >  choose a date.




  6. Lesson Times Confirmed. This is the date when you promise to send out the finalized schedule to your studio families. We recommend that you give yourself at least several days between the parents' Respond Deadline and your Lesson Times Confirmed deadline.


    To set the Lessons Times Confirmed date, click in the Lesson Times Confirmed field  >  browse the calendar  >  choose a date.




  7. Location. This is where you tell Duet where you will be teaching your lessons for this season. There are three built-in choices: My Home, Student's Home, Music Studio. The default is My Home.


    Tip: If you are teaching in more than one location, we recommend choosing the location you will be teaching at the most. Currently, the software only allows one location choice.

    To change the Location, click in the Location drop down box > choose a different location. In this example, we will stay with My Home.





  8. Next. When you are done with this step, it is time for step 2: Your Availability.

    To get to step two, scroll up > click on the Next button located at the upper right hand corner.


    This will transport you to the Your Availability step.

Next, you will tell Duet know what your teaching schedule is.
