In this 4th tutorial, we will take a look at step 4 of the setup process: Messaging.

Now that you've established your teaching your availability and which students you will be teaching, your studio families will submit their preferred lesson times through forms received via automated text or email. 

These messages allow studio families to see your teaching schedule, submit their own preferred lesson times, and receive confirmation of their assigned lesson time. In this section, you can preview all of those messages. 

You will also learn how to trigger these messages to collect lesson time preferences. 



What You Need

You will need to make sure that:
  1. Your cell phone number and email address are listed in your studio Settings.
  2. You have entered in the cell phone number and email address of the primary contact, for each studio family, in your Students List.


Step 4 of 4: Messaging


Lesson Time Preference Message

This is the first message that is automatically sent to your studio families once you click on the Text the Form button. It will be asking studio families what their preferred lesson times are for each of their students. 


To see a preview of this message click on the Text Me a Preview text. And it will be sent to your cell phone.





Lesson Time Preference Form

When a Primary Contact clicks on the link in the text (or email), they will see the Lesson Time Preference Form. This is a preview of what the Lesson Time Preference Form looks like.


To see a preview of this form, click on the Preview button.


You can click your way through the 3 pages of the form. Clicking on the Confirm button will not do anything, so it is safe to do so.
  


Lesson Time Preference Reminder

In step 1, you set a deadline for when the preferred lesson time and dates are due. When this deadline is a day or two out, Duet will see who has not sent in the form and send them a reminder message.


To see what this reminder looks like, click on the Text Me a Preview text. The message will be sent to your cell phone.





Lesson Time Preference Received

Once studio families send in their preferred lesson forms, Duet will see this and send them a message letting them know that their preferred lesson times have been received.

Lesson Time for New Season

When you finalize your teaching schedule, and it populates in your Duet calendar, a message will be sent out to all students letting them know when their lessons will be.


To see a preview of this message, click on the Text Me a Preview text. The message will be sent to your cell phone.






Send the First Message

When you are ready to send the preferred lessons time form, click on the Text the Form button.



Duet will want to make sure that you meant to click on the button, thus will show you the Confirmation popup box. If you are sure you want to sent the form, click on the Confirm button.



Once sent, you will see the animation below. Click on the OK button to exit.




Your setup process is now complete! The Smart Schedule screen will change to look like the page below. This is where you will keep track of who has submitted their preferred lessons times, resend the preferred lesson times form, and more. More info about this page is in the next tutorial.
