Season Schedule - Step 3: Students

In this third tutorial, we will explain the Students step of the process. In this step, you will manually schedule any students who already have an assigned lesson time, and you will indicate which students should be auto scheduled.

Students that have a status of either Active, Waitlist, or Lead will automatically show up on this page.

There are three sections on this page:
  1. Scheduled Manually
  2. To Be Smart Scheduled
  3. Other
Each section has its own purpose. We will show you what that is and how to move students from one section to another. 


What You Need

You will need to already have your students added into your Students List. 


About The Three Sections

Schedule Manually Section

The Scheduled Manually section will list students that have had the day and time of their lesson manually entered in. Once manually scheduled, Duet will see this slot as taken and not assign it to anyone else when auto creating your schedule.

When you first arrive at this page, this section will be empty since you have not manually scheduled any students yet. 


You can manually schedule any students that are already listed in either the To Be Smart Scheduled section or the Others section. Once manually scheduled, the student will automatically be moved into this section. 

You can do two actions in this section:
  1. Unschedule. This will undo the manual scheduling and move the student to the To Be Smart Scheduled section. (Scroll down to The Five Actions section of this article for how to do this).
  2. Remove. This will move the student to the Others section.  (Scroll down to The Five Actions section of this article for how to do this).


To Be Smart Scheduled Section

Students listed in this section are the ones that will be auto scheduled.  Any students with a status of Active are automatically populated into this section for you. 


There are three main tasks you can do:
  1. Priority. Drag and drop the order of students in the list. This tells Duet which students get their choice of day and time over others. (Scroll down to The Five Actions section of this article for how to do this).
  2. Schedule Manually. This will open up a popup box where you pick the day and time the student's lesson will be. (Scroll down to The Five Actions section of this article for how to do this).
  3. Remove.  This will move the student to the Others section. (Scroll down to The Five Actions section of this article for how to do this).


Others Section

The Others section is where you can move students if you don't want them to be a part of the auto scheduling, nor will you be manually creating their schedule at this time. Students who have a status of Lead or Waitlist will automatically show up.


There are two main actions you can take:
  1. Smart Schedule. This will move a student to the To Be Smart Scheduled section. This means that the student will be auto scheduled for you. (Scroll down to The Five Actions section of this article for how to do this).
  2. Schedule Manually. This will open up a popup box where you pick the day and time the student's lesson will be.  (Scroll down to The Five Actions section of this article for how to do this).





The Five Actions

Each section (Schedule Manually, To Be Smart Scheduled, Others) have actions that you can take. There are a total of 5 different actions:
  1. Priority
  2. Remove
  3. Schedule Manually
  4. Smart Schedule
  5. Unschedule
The rest of this article are the instructions for how to do each action and what each one is for.


Priority

Priority is only available in the To Be Smart Scheduled section. With priority, you tell Duet which students get first pick of their preferred day and time of their lesson over other students. You do this by changing where the student is in the list.

The person who is listed first has priority over everyone. The person who is second in the list has priority over everyone except the person above them. And so on.

Let's say that Chloe Masterson and Autumn Falls have the exact same schedule choices. Currently, the list shows that Chloe will get these times first since she is second in the list compared to Autumn's 3rd place. But, you want Autumn to get the times before Chloe because you know she drives farther than Chloe. (Note that you can prioritize students based on any criteria that is known to you as the teacher.)

In this example, we will change Autumn from 3rd to 2nd place in the list. Thus giving Autumn's preferred times preference over Chloe's. 
  1. Find the student you want to move and hover your mouse over the three lines icon. 



  2. Drag the student, in this example Autumn, up until she lands in the 2nd priority slot. 


    Notice how Autumn Falls has been moved from 3rd to 2nd priority. 


Remove

Remove moves a student from either the Scheduled Manually or the To Be Scheduled sections to the Others section. You will mainly want to do this if you do not want to schedule the student, at least for the time being.

Let's say that Sophia Miller has to hold off lessons due to an unforeseen event. Thus, she is unable to give you her scheduling preferences. In this example, we will move Sophia from the To Be Scheduled section to the Others section.
  1. Find the student you wish to move and hover your mouse over them.


    Notice that two options will appear off to the right of the students name:  Schedule Manually and Remove.



  2. Off to the right of the student's name, click on Remove.


    Sophia has now been moved into the Others section.


Schedule Manually

You can manually schedule a student from any of the three sections, and the steps are the same. For this example, we will manually schedule a student from the To Be Smart Scheduled section. 
  1. Find the student you want to manually schedule, and hover over them.


    Notice that two options will appear off to the right of the students name: Schedule Manually and Remove.



  2. Click on Schedule Manually.


    This will open the Schedule Manually popup box.



  3. Student. Verify that you have chosen the correct student, by looking at the name under Student.



  4. Day. To select which day the lesson will be: 
    a. Click in the Day drop down box. This will populate a list of days.



    b. Select the day. In this case, it is Tuesday.





  5. Time. To set the time for the lesson:
    a. Click in the Time field. This will populate a list of times.


    b. Scroll through the list and select a time. In this example, 1:00pm.





  6. Duration. The duration (how long the lesson will be) will be whatever it has been set to in the student's profile. If this is not the duration you want, you can change it. 


    To change the duration:
    a. Click in the Duration drop down box. This will populate a list of duration lengths to choose from.


    b. Choose a duration length from the list. In this case we will change the duration to 1 hour.




  7. Save. Click on the Save button. 



    Your student will now show up under the Scheduled Manually section. 



Smart Schedule

Smart Schedule moves a student from the Others section to the To Be Smart Scheduled section. 
  1. Find the student you want to move and hover over them. 


    Notice that two options will appear off to the right of the students name: Smart Schedule and Schedule Manually.



  2. Off to the right of the student's name, click on Smart Schedule.



    Sophia has now been moved from the Others section to the To Be Smart Schedule section.



Unschedule

Unschedule will delete the manual schedule and then move the student from the Scheduled Manually section to the To Be Smart Scheduled section.
  1. Find the student you want to move and hover over them. 


    Notice that two options will appear off to the right of the students name: Unschedule and Remove.



  2. Off to the right, click on Unschedule.


    Autumn has now been moved from the Scheduled Manually section to the To Be Smart Schedule section.
