4. Manually Enter a Recurring Lesson

About

There are two ways you can schedule lessons:
  1. Manually enter them into your calendar.
  2. Use the Smart Scheduling (Season Schedule) feature.
In this tutorial, we will walk you through how to manually create a recurring lesson so you can get an idea of how scheduling looks and works.


What You Need

You will need to have at least one student in your Students List, along with when and where their lessons will occur.



Manually Enter a Reoccurring Lesson

You can manually create a reoccurring lesson in your Calendar. Let's say that you have a student who is only taking lessons during winter. She will take lessons every Monday from the beginning January to the end of March.

  1. Go to your main menu > Scheduling > Calendar.


    This will take you to your calendar in Week view.



  2. Next, click on the +New button at the top right corner of the page > choose Lesson.


    The Add Lesson popup will appear.




  3. Teacher. The Teacher drop down will already be pre-filled with your name. So no need to do anything there.



  4. Student. Click in the Student drop down to choose which student this series of lessons is for. Note: The student will need to have been added into your Student List and have a Status of Active to show up in this list.






  5. Next, choose the Date, Time, and Duration of the lessons.



    Date. Choose the start date by click in the Date field. In this example, the lessons are on Monday starting Jan 15, 2024:






  6. Time. Choose a start time by click in the Time field. Scroll to find the time. The start time is 1pm.





  7. Duration. By default, the Duration is prefilled with the lesson duration set in the students detail's page. Typically, you will leave this as is. But, you can always change it here by clicking in the Duration field, which will only apply to this lesson series. We will keep it to the default for this example.




  8. Repeat. This lesson series will repeat weekly. Click in the Repeats field > choose Weekly.


    When Weekly is chosen, more options will appear.



  9. Next, check Mon and keep the Every drop down field to 1. This says that lessons will occur once a week on Mondays.



  10. Ends On. Finally, you will need to choose when the lesson series will end. Click in the Ends On field and choose a date from the calendar.





  11. Add Button. Click on the Add button to create the lesson series.



  12. Send Notification. You will be asked if you want to send a notification to your studio family that will let them know the lesson series has been created and when the lessons are.

    Click on the Yes button.



    The lesson series has been added to the calendar. This is just the month of February:



  13. Notification to Studio Family. Your studio family (primary contact) will receive the email letting them know about the lesson times and day. Here is what the email looks like:



  14. Edit. Just to quickly show you that if you want to edit the lesson series, go into your calendar > click on a lesson.


    This will bring up the lessons popup box. Then click on the Edit button.


    This will open up the Edit Lesson popup. And you can go from there.
