Manually Enter a Recurring Lesson

There are two ways you can schedule lessons:
  1. Manually enter them into your calendar.
  2. Use the Smart Scheduling (Season Schedule) feature.
In this tutorial, we will walk you through how to manually create a recurring lesson so you can get an idea of how scheduling looks and works.


What You Need

You will need to have at least one student in your Students List, along with when and where their lessons will occur.



Manually Enter a Reoccurring Lesson

You can manually create a reoccurring lesson in your Calendar. Let's say that you have a student who is only taking lessons during the summer. She will take lessons every Friday from the beginning of June to the end of August.

  1. Go to your main menu > Scheduling > Calendar.

     
    This will transport you to your Duet calendar.



  2. At your calendar navigate to June and find the first Friday.



  3. Left click on the date. This will bring up a menu.




  4. Click on the Add Lesson/Event option.



    This will open up the Add Lesson/Event popup form.




  5. Teacher. In the Teachers field, verify that your name is selected. It should be by default. 



    If your name is not showing in the Teachers field, then click on the down arrow > choose your name.




  6. Verify that Selected Students is chosen. It should be by default. If not, click on it to select it.




  7. Student(s). Click in the Students field to bring up a list of active students.



    Then choose the student this set of lessons if for. In this case, Sophia Miller.





  8. Title. The Title defaults to the name of your student and is what you will see on your calendar.  



    If you wish to change the title:
    a. Click on the x to delete what is in there.



    b. Type in the title you wish to have.



  9. Notes. There are two different places for notes, because who can see them varies.
    Notes for Student(s) is visible to both the teacher and student.
    Private Notes is only visible to the teacher.


    To leave a note for students:
    a. Click on the arrow, to the right of Notes for Student(s) text. This will show the text editor.


    b. Type in your note.


    To leave a private note:
    a. Click on the arrow, to the right of Private Notes text. This will show the text field.


    b. Type in your note.



  10. Date. Next, set the date of when the first lesson will be. In this case, it is correctly set to Friday, June 2nd, 2023.


    If you want to change the date:
    a. Click in the Date field to bring up a calendar > navigate to the starting date you want > choose that starting date.





  11. Time. Next, you will want to choose what time the lesson starts in the Time field. 

    a. Click on the time that is in the Time field. This will populate times to choose from.


    b. Scroll through and choose a new time. In this case, 10:00am.





  12. Duration. Next, you will want to say how long the lesson will be in the Duration field, using minutes. 

    a. Click in the Duration field.



    b. Delete what is in there.



    c. Type in how long the lesson will be. In this case an hour, so 60 minutes.


    You can change the duration to any time you want, using minutes only. For example, if the duration is going to be 1 hour and 15 minutes, you would need to type in 75 (60 minutes + 15 minutes = 75). 1 hour is the same as 60 minutes.


  13. Repeats. Now you need to set how often and how long the lesson will repeat.

    a. Click on the Repeats down arrow. 



    b. In the Repeats drop down box, click on the down arrow to show your choices.



    c. Choose Weekly.



    Notice how choosing Weekly populated more fields for you.



    d. Every. At the Every drop down box, keep it to 1. This says that the lesson will repeat once per week.



    e. Repeats. At the 2nd Repeats, keep Friday the only option checked. This says that the lesson will repeat on Fridays only.



    f. Ends on. At the Ends on field, you will want to choose the date when the lessons will end. 

    Click in the field to populate the calendar > navigate the calendar > choose your ending date.





    What this says is Sophia's lessons will occur every Friday at 10:00am, from Jun 2nd 2023 until August 25th, 2023. And that each lesson is one hour long.



  14. Location. This field keeps track of where the lesson is going to occur. By default it is set to My Home (which is the teacher's home). 


    If you need to change the location click on the down arrow > choose a different location . In this case, we will keep it at My Home.




  15. Category. This field keeps track of what kind of event you are creating. By default it is Lesson. 


    You have other choices such as Appointment and Recital. To change the Category, click on the down arrow > choose a different option .



  16. Double check that all of the fields in this form are correct before saving.


  17. Save. To save this reoccurring lesson and have it populate in your calendar, click on the Create a New Lesson/Event button.            



    The Send Notification? popup will appear.
    If you have the primary contacts and/or the students cell phone number and it is set to receive texts, click on Yes .

    However, if you don't have the primary contacts nor the students cell phone number then click on No.

    In this case, I clicked on the Yes button.



    Duet has auto populated your calendar for you.
