Email Your Students

In this article, we will show you how to email your students from your Duet studio. You can send the email to the student only, the primary contact only, or both.


What You Need

You will need to know who you want to email and what the email will be about.


Email Your Students

You can choose one or more students to email at a time. In this example, we are emailing Sophia (who is an adult student and her own primary contact) that she left behind her sweater.
  1. At your main menu, click on Students  > Student List.



    This will transport you to your Student List page.



  2. Find the student you wish to email, and click in the box to the left of the student's name to check mark it. 



    This will select that student and make the Email button active. 



    If you want to email two or more students, check mark the box next to each student's name to select them. Like so:




  3. Click on the Email button.


    This will open up the Composing Email box.




  4. Selected Students. This field tells you who you are going to email. It auto populates with whoever you selected in step 2 above.


    You can add more students by clicking in the field and then choosing another student. Repeat to add more students. But, for this example, we will stick with just emailing Sophia.




  5. Send Email To. This area lets you choose who, within the studio family, will receive the email. Is it the student, primary contact, or both? 


    In this example, we are choosing Primary Contact. Notice how the primary contact's email address shows up in the Selected students field.




  6. Use a Template?. A template is a reusable email that you can create in the Messaging section of your Settings.


    You would click in the Use a template? drop down box and choose the email template to use. Currently, I don't have any email templates created. So, we will skep this for now and just write an email from scratch.




  7. Subject. The Subject is the spot where you put the title of your email in. Type in whatever you want that to be.




  8. Message. There is where you type in the message you want to send.



    This box comes equipped with a text editor. So, you can do things such as bold text, add in a table, create a list, and more.


    Let's type in our email's message.




  9. Attachment. If you want to attach any files, this is where you do so.  


    a. Click on the + Select File button.


    b. Choose which file you want to attach to your email.


    c. Click on the Open button to upload the file.


    The file is now attached to your email.          




  10. Insert Variable. The Insert Variable drop down takes a bit of explaining.


    Think of a variable as automated text shortcuts. Instead of having to type in todays date, for example, you simply choose the Today's Date variable and Duet will fill in the date for you when the email is sent.

    a. Click in the Insert Variable drop down box. This will show a list of variables/text shortcuts to choose from.


    b. For this example, we will choose Today's Date.


    Notice how the Insert to Subject and Insert to Message buttons are now active.



    c. You can either have todays date auto put into the Subject of your email. Or you can have todays date auto put into the Message of your email. In this example, we will choose to put todays date at the end of the message.

    c1. Click where, in your message, you would like todays date to go. In this example, at the end of the message.


     c2. Click on Insert to Message button.


    Duet will put the variable/text shortcut right where you asked her to. 

    Duet will replace {$today} with whatever todays date is when you send the email.


  11. Send. When you are done with your email, click on the Send button. 


    Here is what the email looks like. Notice how the date shows up correctly at the end of the message.
